When we mention “Personal Information” in this Privacy Notice, we are referring to information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, to an individual. However, it does not include aggregated or deidentified information that cannot reasonably be associated with or linked to an individual.

We collect Personal Information in different ways. Sometimes, we collect Personal Information automatically when individuals interact with our Services, and other times we collect it directly from the individuals themselves. Additionally, we may obtain Personal Information about individuals from other sources and third parties, even before our first direct interaction with them.

Personal Information Collected from Individuals Directly

We collect the following Personal Information from visitors to our Site, individuals participating in our product demonstrations, and account holders:

  • Contact Information: This includes name, email address, country/region, phone number, and communication preferences.
  • Account Information: This includes name, company name, employer, job title, job promotion status, email address, phone number, business address, website, username, and password. It also includes profile information, profile image, address book information, team information, department information, payment and purchase history, and any other information provided by individuals, such as interests, biography and education history. Please note that we utilize a third-party provider for payment processing, and we do not accept direct payment through our Services.
  • Interaction Notes Information: This includes the subject matter, date, location, quotes, call details, meeting notes, and other information provided in the notes of an interaction.
  • Inquiry Information: This includes information provided through custom messages sent via forms or contact information provided on our Site.
  • Demonstration and Networking Information: This includes contact information, job title, company name, number of employees at the company, and video conferencing details.
  • Subscription Information: This includes subscriber ID, account contact information, and transaction-related information.

Personal Information Automatically Collected

Similar to most digital platforms, we and our third-party providers may automatically collect Personal Information from an individual’s device, browsing actions, and site usage patterns when they visit or interact with our Services. This may include log data (e.g., IP address, operating system, browser type, URL, date/time of visit, time spent on our Services, and any errors encountered), analytics data (e.g., electronic path taken through our Services, usage and activity on our Services), and location data (e.g., general geographic location based on collected log data). To collect this information, we use cookies (small data files stored on an individual’s computer) and related technologies such as web beacons, pixels, embedded scripts, and location-identifying technologies. Some features and offerings may not function properly or may not work at all. Furthermore, individuals can configure their email options to prevent the automatic downloading of images, which may contain technologies that allow us to track whether they have accessed our emails and performed certain actions with them.

Collection of Personal Information from Third Parties

In addition to the Personal Information we collect directly or automatically, we also obtain information from third parties. This information is often combined with the Personal Information we collect from individuals. The following are some examples of the third parties from whom we receive Personal Information:

  • Employer/Company: If an individual’s employer or company engages in our Services, we may receive the individual’s information from them. This includes information provided by representatives, administrators, team members, department colleagues, or other users with access to the individual’s account.
  • Other Users of our Services: If an individual shares their information with other users of our Services, such as through QR codes, IonCard -generated links, physical business cards, or manually entering information into the Services, we may receive that information from them.
  • Third-Party Platforms: When an individual connects a third-party platform account (e.g., Google, Outlook, Salesforce) to our Services, we may receive information permitted by the individual to be shared with third parties. This may include contact information, employment information, meeting data, address book, and calendar data.
  • Social Media: Interactions with our Services through social media networks, such as liking, following, sharing content on Facebook, Google, Twitter, or other platforms, may provide us with information permitted by the individual’s privacy settings on those platforms.
  • Service Providers: Our service providers, who work on our behalf, collect Personal Information and may share some or all of it with us. These providers include survey and marketing providers.
  • Information Providers: We may obtain information from third-party providers to correct or supplement the Personal Information we collect. For example, updated contact information may be obtained to stay connected with an individual.
  • Publicly Available Sources: Personal Information gathered from publicly available sources, such as contact information, news sources, employment-related information, and interest in services, may be combined with the information we collect directly from individuals. This helps us in contacting individuals, providing updates about their contacts in the news, sending advertising or promotional materials, personalizing our Services, and better understanding the demographics of the individuals we interact with.

We use this collected information to enhance our services and ensure a more personalized experience for our users.

Data Storage and Security

At Ion Card, we prioritize the security and protection of your data. We store your data securely in Google Cloud services and use Google Cloud Service Provider to implement rigorous security standards and tools to ensure its safety.

  • Data Transport: To maintain data integrity, all data is encrypted during transit. We never transfer data using insecure protocols, ensuring its confidentiality.
  • Data Storage: Our database instances are encrypted both at rest and in transit, guaranteeing the security of your data. All backups and static data are also encrypted.  
  • Data Retention: Once you release your data, it becomes immediately unavailable upon deletion. After a 7-day grace period, during which you can undo the deletion if you decide to continue using our service, the data is completely wiped out. You have the option to request copies of your data or request full data deletion at any time.
  • Other Data Protection: We employ state-of-the-art measures to ensure the confidentiality and integrity of the data, including backups, archives, and possible replicas. Personal data and confidential data are encrypted. In development, integration, testing, acceptance, and pre-production cloud environments, personal data is anonymized.

We utilize the Personal Information we collect in the following ways:

  • Fulfillment of Requests: We use the information to fulfill the purposes for which it was provided, such as meeting contractual obligations, delivering requested Services, and processing transactions.

  • Other Users of our Services: If you share information with other users of our Services through QR codes, IonCard-generated links, or physical business cards, we may disclose your information to them. Information entered or shared in interaction notes may also be disclosed to other users of the Services.
  • Survey Providers: We share Personal Information with third parties who assist us in delivering survey offerings and processing responses.
  • Marketing Providers: We coordinate and share Personal Information with our marketing providers to communicate about the Services we offer.
  • Customer Service and Communication Providers: Personal Information is shared with third parties who support us in providing customer services and facilitating communication with individuals who submit inquiries.
  • Other Service Providers: Besides the aforementioned parties, we engage other third-party service providers who perform business or operational services for us, such as website hosting, infrastructure provisioning, IT services, analytics services, and administrative services.

We want to make it clear that our Services are not intended for children under the age of 16, and we do not knowingly collect or solicit Personal Information from individuals in this age group. If you are a customer, prospect, or have interacted with an Ion Card customer who uses our Subscription Service and would like to access, correct, amend, or delete your data controlled by that customer, please reach out to the relevant customer directly. Ion Card acts as a processor for our customers and will collaborate with them to fulfill such requests, as applicable.

California Privacy Rights


This section is specifically applicable to California consumers. For the purpose of this section, “Personal Information” refers to the definition provided in the California Consumer Privacy Act (“CCPA”). It outlines how we collect, use, and share Personal Information of California residents as a business, as well as the rights applicable to such individuals. Under the CCPA, businesses are required to disclose whether they sell Personal Information. As a business, Ion Card does not sell Personal Information. However, we may share Personal Information with authorized service providers or business partners who have agreed to abide by our contractual limitations regarding the retention, use, and disclosure of such information.
